Compliance

 

You have volunteers who serve in various ministries at your Church. They hold doors open, care for children, lead youth group trips, and work with seniors. You probably have requirements for each of these volunteer positions. And those requirements probably vary by the Ministry the volunteers are in and maybe by the role they have in that Group.

You need to track all these requirements and we created Compliance to do just that. The best part? It's customizable, so you can do YOUR church YOUR way! Want to know more? Check out the Requirements Webinar for all the details!

There are two read-only Compliance pages that put information regarding your volunteer's eligibility for service in one place with pre-loaded views to guide your way.

  • Compliance: Lists everyone who is serving in a Group and shows their current status for each of the components required for their Group Role. Opening a record will show the Participant's Group and Compliance information. Provided Views include:
    • All Records: Shows everyone serving in a Group.
    • Current All Clear: Everyone who is serving in a Group whose Requirements are up to date.
    • Current Need Background Check: Those serving in a Group that are missing their Background check.
    • Current Need Certification: Those serving in a Group that are missing their Certification.
    • Current Need Form: Those serving in a Group that are missing a required Form.
    • Current Need Milestone: Those serving in a Group that are missing a required Milestone.
    • End Dated Group Participants: People who are no longer serving in a Group and the status of their requirements.
    • Recently Added: Group Participants who have been added in the past 7 days.
  • Compliance Details: Lists everyone who is serving in a Group and allows Users to see the specific Background Checks, Certifications, Forms, and Milestones, along with their details. Provided Views include:
    • Current All Clear: Everyone serving in a Group who is current on all of their Requirements.
    • Recently Added: Group Participants who have been added in the past 7 days.

Getting Started

Mix and match the service requirements that work for YOUR church! We strongly recommend starting small and setting up a few, simple Requirements to get started. You can always add more after building a solid foundation.
  • Add the Months to Expire to each Background Check Type your church uses.
  • Create the Certification Types that work for your church, like a training video or class. Each Certification Type can have its own expiration time period. Spoiler: Be on the lookout for some exciting future integrations that leverage Certification Types!
    1. Lookup Values > Certification Types.
    2. Select New Certification Type.
    3. Save.
  • Create Requirements for service for the Group Role:
    1. Church Structure > Requirements.
    2. Select New Requirement from the Action Menu.
    3. Fill out the desired fields. 
      • Background Check Type: The Background Check Type required for this role. Each Background Check can have its own expiration time period.
      • Certification Type: A certification required for this role.
      • Milestone: The single Milestone required for this role. Perhaps the final milestone in a journey of a few requirements would be a good fit?
      • Form: The single Custom Form that needs to be completed for this role. Like an application or ministry agreement.
    4. Save.
Pro Tip: If the form needs to be resubmitted periodically (for example, an annual Ministry agreement), add a value to the Months Till Expires field on the Custom Form record (for an annual agreement, enter 12). A routine will run nightly to populate the corresponding Expires field on the Form Responses with the appropriate expiration date. And you'll know exactly when the Participant is no longer compliant. #easybutton
    • Add requirement information for your volunteers:
      • Background Check Information will be added via the nightly routine.
      • Certification Type: Create a Certification record for the volunteer.
      • Milestone: Add the required milestone for the volunteer.
      • Form: Will be added automatically when the volunteer completes the required form.
    • Use the Compliance page to track whether Participants have completed the needed Requirements at-a-glance.
      • Each volunteer will be listed for each Group or Group Role. Volunteers may be listed more than once.
      • As Participants complete the requirements, each requirement field will be updated in real-time. The requirements can be:
        • Not Required: This Requirement is not required for the Group Participant.
        • Missing: This Requirement is required, but not present for the Group Participant.
        • Passed: This Requirement is required, and present for the Group Participant.
        • Expired: This Requirement is required but expired for the Group Participant.
