Configuring Tools

Every MinistryPlatform system has access to many Tools in the application. SPoCs are responsible for ensuring users have appropriate access to these tools.

Tool Availability by Page

First, note that SPoCs should not adjust what pages each tool is available on. If a change is made, the tool might not function as expected.

To see the tools available on each page, a SPoC can either:

  • Method 1:
    1. Go to System Setup > Tools.
    2. Open the tool record.
    3. Look at the Permitted Pages sub-page to see which pages the tool displays on.
  • Method 2:
    1. Go to System Setup > Tool Pages.
    2. Search for a specific page.
    3. The search results reflect the tools that display on the page.

Granting User Access to Tools

Users won't have access to any Tools until a SPoC provides access via Security Roles. To do so:

  1. Go to Administration > Security Roles.
  2. Either create a new Security Role or open the desired Security Role.
  3. Click New on the Tools Permitted sub-page:
    • Search for and choose the desired tool.
    • Click Save.
  4. Ensure the appropriate Users are indicated in the Users sub-page. If needed, you can add Users.
  5. Users should refresh their web browser in order for the Security Role update to take effect.

For more information, see Security with Tools and Reports.

Seeing User Access to Tools

To see which tools are available to each user:

  1. Go to Administration > Users.
  2. Click Reports > User Permissions: Reports & Tools.
  3. Set the report parameters.
  4. Click View Report.

Adding a New Tool

If a new tool is released or is not listed in the System Setup area, a SPoC should email Support. Either Support will remedy the situation, or will provide information to complete the following process:

  1. Go to System Setup > Tools/Actions.
  2. Click New:
    • Indicate Tool Name.
    • Indicate Launch Page (e.g., ...cloudapps.ministryplatform.cloud/Tools/Family).
    • Click Save.
  3. Click New on the Permitted Pages sub-page to add the appropriate pages.

Configuring an Existing Tool

Sometimes an existing tool is superseded by a new version with a different file name. In this situation, a SPoC should email Support. Either Support will remedy the situation, or will provide information to complete the following process:

  1. Go to System Setup > Tools.
  2. Open the tool:
    • Click Edit.
    • Edit the Launch Page (e.g., ...cloudapps.ministryplatform.cloud/Tools/Family).
    • Click Save.
