Event Reminder

 

Event Reminders are sent to registered Participants (or their Heads of Household) in advance of an Event.

  • Frequency: Daily. Note: The notification routine runs once during the nightly routine, so you'll need to have at least a one day lead time.
  • Recipients
    • Any Event Participant with a status of 02-Registered in the Event with an email on file.
    • If Send to Heads is selected and the Registrant is not a Head of Household, both the Registrant and Registrant's Head of Household are sent the message. If the Registrant is a Head of Household, only they will be sent the message. Note: Heads of Household associated via Other Household are included when Send to Heads = True.
    • Note: The Event Reminder message does not honor Bulk Email Opt-Outs.
  • From/Reply To: The Primary Contact of the Event. If there is no Primary Contact, then it will be sent from the Contacts identified in Message Template. If the template is also null, it will be sent by Support. The sender's name will be displayed as "[Nickname] [Last Name]."
  • Contents: An email reminding registrants of an upcoming event.
  • How to Stop:
    • Days Out To Remind in the event is null
    • Cancel the Event

  • Method for Sending: Platform
  • Logging in Messages: Daily. Template message is copied and Recipients are logged.
  • Configuration Settings:
  • Merge fields Supported if [Group Assignment] Token is NOT Included 
    • Subject & Body: [Nickname], [Event_Title]
    • Body only: [Event_Start_Date], [Meeting_Instructions], [Congregation_Name],[Location_Name], [Event_Details_URL], [Group_Name], [Option_Title], [Option_Title_Qty]. Option_Title token will list all of the options chosen (separated by a comma).
  • Merge Fields Supported if [Group Assignment] Token is Included: The [Group_Assignment] token is used to list all registered participants (children) [first and last names] and Groups they are in [group names] so that parents only get one email for all their children, tokens related to single registrants cannot be used.
    • Subject & Body: [Nickname]
    • Body only: [Last Name], [Group Assignment], [Group_Name], [Option_Title], [Option_Title_Qty]. Option_Title token will list all of the options chosen (separated by a comma).
  • Initial Configuration: For each event, set the number of days in Days Out To Remind. No reminder will be sent if this field is empty. Note: The number of days must be at least 1 for a reminder to be sent.
  • Optional Configuration: Create your own, event-specific message template and set an optional reminder message.
Notes: Participants added to the Event after the reminder email has been sent, will not be sent a reminder email. The notification is sent one time,  based on the Days Out to Remind value), to the Participants registered at the time of notification.

Other Notes
  • If the Registrant is assigned to the Default Contact, the reminder will not be sent.
  • If the Registrant has a status other than "02-Registered," the reminder will not be sent.
  • For the [Group_Assignment] token, the Group information that is merged is from the Group that corresponds with the Group Participant record indicated on the Event Participant record.  
  • If "Send to Heads" is selected, the reminder will be sent to Heads even if the Registrant does not have an email address on their Contact record. If not used in conjunction with [Group_Assignment] token, the reminder will go to registrants and heads with valid email addresses.
  • "Send to Heads" with the [Group_Assignment] token will send Parents one email listing all household registered group assignments related to an Event (for example, multiple children registered for VBS, Missions, etc.). The reminder will not be sent to the registrant.
  • The reminder is only sent for Events that are current or in the future. It is not sent for past events.
  • The Days Out calculation is based on the Event Start Date. When your church's notifications are scheduled to run, the Date on the server is compared to the Event Start Date minus the Days Out to Remind. Reminders are only sent if these match.
  • The notification routine runs once during your nightly routine, so it must have at least a one-day lead-time.
  • If the Days Out value is changed to a lower value after a reminder has already been sent, another reminder will be sent.
  • Canceling the Event will prevent the Event Reminder from sending.
