Communicating

Emailing Groups

Option 1: Open the Group record from the Groups page and select one or more Group Participants from the Participants sub-page. Click Xfer to take your selection to the Participants page and then use the New Message Tool to send the message. Before you do this, make sure you have cleared any previous selections on the Participants page titled From: Groups: Participants.

Option 2: Create a selection from the Group Participants page using an ad-hoc search, an existing page view, or a custom page view created with the Advanced Search tool. Once records are selected, you may use the New Message Tool immediately, but a person might get multiple emails as the emails are sent "one per group role" rather than "one per person".  This is because merge fields are available and can be used to communicate with a person about their role in that Group. If you want to ensure you have one email per person, transfer your selection to the Participants page.

Option 3: Select one or more Group records from the Groups page. Use the Selected Group Call List report to create a selection of those in the groups on the Participants page. Navigate to the Participants page and then change your selection to the one created by the report.

Option 4: Select one of more Group records from the Groups page. Navigate to the Contacts page. Use the Parents of Selected Group Members view to view the parents of those who are in the selected Groups. You may want to create a similar view to see those who are in the selected group. Click here to download a sample of a view to do this provided by one of our churches.

Option 5: Select one or more Group records from the Groups page. Use the New Message Tool to communicate ONLY with the Contact Person of the selected groups. This person, in turn, can select the most effective means of communicating the information to the groups they coordinate.

Option 6: Use the Portal to create an Event for a Group and send an RSVP email or a simple message to those group members.

Option 7: Group Participants with a Group Role Type of Leader can send email or text messages to Group Participants via GroupLife.

Option 8: Use the Group Notification Routine to remind members of upcoming service times.

Option 9: Mailing: Select one or multiple groups. Run the "Selected Group Nametags - Avery 5160" to create mailing labels.
